Job Summary and key responsibilities:
We are looking for an organised, proactive and confident Property Inspection Administrator to join our team. The role will involve managing the daily diary and appointments for a team of Property Inspectors, coordinating access to properties, communicating with landlords and tenants, and providing general administrative support to ensure inspections are completed efficiently and on time.
The ideal candidate will have excellent organisational and communication skills, be comfortable speaking to landlords, tenants and contractors, and be able to manage a busy workload while maintaining a high level of attention to detail.
Key Responsibilities:
Manage and coordinate the daily diaries and schedules for a team of Property Inspectors.
Book, arrange and confirm property inspection appointments.
Contact landlords and tenants by telephone, email and other communication channels to arrange access to properties.
Coordinate appointments around tenant and landlord availability while ensuring inspectors' diaries are used efficiently.
Reschedule appointments where necessary and deal with cancellations or changes at short notice.
Follow up on outstanding appointments and ensure inspections are completed within required timescales.
Maintain accurate records of appointments, property details and inspection outcomes.
Liaise with landlords, tenants, contractors and other relevant parties.
Answer telephone calls and respond to emails in a professional and timely manner.
Provide general administrative support to the Property Inspection team.
Update internal systems and databases with accurate and up-to-date information.
Prepare daily schedules and communicate any changes to Property Inspectors.
Monitor outstanding work and assist with ensuring deadlines and service levels are met.
Deal with queries from landlords and tenants and escalate issues where appropriate.
Assist with arranging access when keys, contractors or other arrangements are required.
Ensure all relevant paperwork and documentation is completed and filed correctly.
Support the wider property management/administration team with other duties as required.
What are we looking for:
Previous experience in administration, property management, lettings, estate agency or a similar role is desirable.
Excellent telephone and communication skills.
Confident speaking with landlords, tenants and other external contacts.
Strong organisational and diary-management skills.
Ability to prioritise and manage a busy workload.
Excellent attention to detail and accuracy.
Good IT skills and confidence using Microsoft Office and property management systems.
Professional, friendly and approachable manner.
Ability to work independently as well as part of a team.
Good problem-solving skills and the ability to remain calm under pressure.
Flexible and able to adapt to changing schedules and priorities.
